AIIDE-16 EXHIBITOR
RULES AND REGULATIONS
The main purpose of the conference is educational and is aimed at increasing the opportunity for professional exchange and interaction among colleagues. AAAI does not endorse any products or services, but simply provides a forum for the disbursement of technical information.

EXHIBIT FEES
$800.00 for Commercial vendor tabletop exhibit space
$500.00 Publisher/Nonprofit organization tabletop exhibit space

EXHIBITOR BENEFITS
AIIDE-16 Exhibitors are entitled to several benefits in addition to their exhibit space: 
•  A 100-word listing and description in the AIIDE-16 Program 
•  One copy of the AIIDE-16 Conference Proceedings (downloadable electronic copy) 
•  One complimentary technical registration to the AIIDE-16 Conference (Commercial rate only)

SPACE GUIDELINES
Because of space limitations at the hotel, only tabletop exhibits are allowed. Each exhibitor will be provided with one (1) skirted table on which they may arrange their display and up to two (2) chairs.

EXHIBIT Location and Hours
The AIIDE-16 Exhibits will be held in the foyer where the coffee breaks will be held. 

Suggested Exhibit Schedule (flexible):
Monday, October 10               10:00AM - 5:00PM
Tuesday, October 11              10:00AM - 5:00PM
Wednesday, October 12         10:00AM -12:00PM

COMPUTER, ELECTRICAL AND TELEPHONE SERVICE
Exhibitors are required to bring all necessary equipment, including power strips, and material for the successful operation of their exhibit tables. Wireless Internet access will be available at no charge. However, the use of power may be at an additional charge through the hotel.
 
REGISTRATION
Registration information will be available in August and will be sent to confirmed exhibitors.
Confirmed exhibitors will receive a discount code for one (1) complimentary conference registration (does not include workshops).
Guest badges can be provided to individuals not attending any AIIDE sessions. 

ACCOMMODATIONS
AIIDE-16 has a block of discounted rooms at the hotel. Please see http://www.aiide.org/travel for more information. The cut-off for making reservations is September 9, 2016 at 5:00PM local time. 

SECURITY
There will be NO HIRED security for the exhibit area. AAAI assumes no responsibility for damage or loss of boxes or equipment. It is HIGHLY RECOMMENDED that you take all valuable items with you whenever you leave your exhibit area, and each night when the exhibits close. 

LIABILITY
Neither AAAI, the Embassy Suites Hilton San Francisco Airport Waterfront (Hotel) or staff, nor any of the officers, directors, agents, or employees of AAAI shall be liable for any damage, loss, harm, or injury, to the person or property of any participant, resulting from theft, fire, water, act of God, accident, labor strike, or any other cause, which damage, loss, harm or injury occurs during the course of or results from an Exhibitor's participation in the AIIDE-16 Exhibit Program. The Demonstrator shall indemnify and hold AAAI harmless from any and all liability for damage, loss, harm or injury to person or property that might ensue from any cause resulting from or connected with the transportation, placing, removal or display of demonstrations. It is the responsibility of the Exhibitor to secure insurance at its own cost and expense and to maintain proper insurance coverage for its property, damage, loss or theft, liability, or business interruption. The Exhibitor assumes all costs arising from the use of patented, trademarked, copyrighted, or service-marked materials, equipment devices, processes or dramatic rights used on or incorporated in the conduct of their exhibit; and the Exhibitor agrees to indemnify and hold harmless AAAI and the hotel from all damages, costs and expenses in law or equity for or on account of the use of any patented, trademarked, copyrighted, or service-marked materials, equipment, devices, processes, or dramatic rights furnished or used by the Exhibitor its employees or licensed agents.
